How Fan Club Pro handles your data and the data of your fans.
Last updated: July 7, 2026
This Privacy Policy explains how Fan Club Pro, Inc. ("Fan Club Pro", "we", "us", or "our") collects, uses, shares, and protects personal information when you use our website, applications, embeddable widgets, and related services (the "Platform"). It applies to artists and creators who run clubs ("Creators"), to fans who join clubs ("Members"), and to visitors to our site.
Contents
1. Our role and Creators' role
For the Platform itself (your account, the marketing site, and how the service runs), Fan Club Pro is the controller of your personal information.
When a Creator collects and manages their own fan list, memberships, content, and community, the Creator is the controller of that fan data and Fan Club Pro acts as a processor that stores and handles the data on the Creator's behalf. This means a Creator can see and manage the data of fans who join their club, and a fan's requests about how their data is used within a specific club may need to be directed to that Creator. Creators are responsible for using fan data lawfully and for honoring fan choices.
2. Information we collect
Information you provide
- Account details: your email address, and your name or display name. Creators also provide a club name and handle. Passwordless sign-in means we do not collect or store passwords.
- Profile and content: avatars or images, bios, social links, community posts, and comments.
- Membership and billing: your membership status and plan for a club. Card payments are processed by Stripe; we do not receive or store your full card number.
- Perks and events: information needed to deliver a perk or let you attend an event, such as a shipping or contact detail.
- Support and contact: messages you send us, including through our contact and help forms.
Information collected automatically
- Usage and device data: pages viewed, actions taken, approximate location derived from IP, browser and device type, and similar diagnostics used to run and secure the Platform.
- Cookies and similar technologies: we use strictly necessary cookies to keep you signed in and secure. See our Cookie Policy for details. Our analytics are privacy-focused and do not use tracking cookies.
Information from others
- From sign-in providers: if you sign in with a supported provider such as Google, we receive your email address and basic profile details from that provider.
- From Creators: if a Creator imports or adds you to a club, we may receive your email and related engagement data from them.
- From connected services: if a Creator connects a service such as Shopify, we may receive store and order-related data needed for the integration.
3. How we use information
- Provide, maintain, and improve the Platform, including accounts, clubs, memberships, content, community, and events.
- Authenticate you and keep your account and the Platform secure, including preventing fraud, abuse, and fake engagement.
- Send transactional and service messages, such as sign-in links, membership and billing updates, and important notices.
- Respond to your support requests and communicate with you about the Platform.
- Send marketing communications where permitted, which you can opt out of at any time.
- Comply with legal obligations and enforce our Terms of Service.
4. Legal bases (EEA/UK)
If you are in the European Economic Area or the United Kingdom, we rely on these legal bases: the performance of a contract (to provide the Platform you asked for); our legitimate interests (to secure, operate, and improve the Platform, and to communicate with you), balanced against your rights; your consent (for example, for certain marketing, which you can withdraw); and compliance with legal obligations.
5. How we share information
We do not sell your personal information. We share it only as described here:
- With Creators: when you join a club, the Creator of that club can access the information tied to your membership, such as your name, email, membership status, community activity, and (where applicable) details needed to deliver a perk or event.
- With service providers who help us run the Platform under contract, including cloud hosting and databases (for example, Cloudflare and Neon), payment processing (Stripe), email delivery (Amazon SES), file storage (Cloudflare R2 and Amazon S3), and analytics. They may only use the data to provide services to us.
- With connected services a Creator chooses to enable, such as Shopify, to the extent needed for the integration.
- For legal reasons: to comply with law, respond to lawful requests, or protect the rights, safety, and property of Fan Club Pro, our users, or the public.
- In a business transfer: if we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
6. Data retention
We keep personal information for as long as your account is active and as needed to provide the Platform, then for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. Self-serve account deletion uses a 30-day grace window: the account is deactivated immediately, signing back in during the window restores it, and after the window the associated data is purged. When a deletion completes, or when a Creator deletes a member or a club, we delete or de-identify the associated personal data, except where we must retain it by law or for legitimate business purposes such as fraud prevention and backups. Backups are cycled on a rolling schedule and are overwritten in the ordinary course.
7. Security
We use technical and organizational measures designed to protect personal information, including encryption in transit, encrypted storage, access controls, passwordless authentication, and rate limiting. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Keep access to your email account secure, since it is how you sign in.
8. International data transfers
Fan Club Pro is operated from, and stores data in, the United States, and our service providers may process data in the United States and other countries. If you access the Platform from outside the United States, you understand your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your country. Where required, we use appropriate safeguards for such transfers.
9. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. You can update your profile and delete your account from your settings (see how to delete your account for the steps, the 30-day restore window, and what we keep), and you can opt out of marketing emails using the link in those emails. To exercise a right, email privacy@fanclubpro.com. Because a Creator controls the fan data within their own club, we may direct or forward some requests to the relevant Creator. We will not discriminate against you for exercising your rights, and you may have the right to lodge a complaint with your local data-protection authority.
10. Children's privacy
The Platform is not directed to children under 13, and we do not knowingly collect personal information from them. Where local law sets a higher age (14, 15, or 16 in parts of the EEA), that age applies, and our signup flow shows the age that applies to you. If you believe a child has provided us personal information, contact privacy@fanclubpro.com and we will take appropriate steps to delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Platform after the changes take effect means you accept the updated policy.
